Release Templates
Templates let you define your rollout playbook once and apply it to every release. Whether it is a 6-week single campaign or a 3-month album cycle, you build the plan one time and reuse it across your entire catalog.
Why templates matter
Section titled “Why templates matter”Every label and management team develops a rhythm — distributor delivery timelines, playlist pitch windows, content schedules, PR outreach cadences. Without templates, someone has to remember (or reinvent) that process for every release. Templates capture your institutional knowledge so nothing slips through the cracks, even when your team grows or people move on.
Creating a template
Section titled “Creating a template”- Go to the Templates page
- Click New Template
- Give it a name (e.g., “Standard Single Rollout” or “Album Launch — Full Campaign”)
- Add tasks and marketing activities
Adding tasks to a template
Section titled “Adding tasks to a template”Each template task includes:
- Title — e.g., “Deliver final masters to distributor” or “Submit to editorial playlists”
- Description (optional) — add notes like “Use the DistroKid Spotify pitch form”
- Relative timing — e.g., “4 weeks before release” so tasks auto-schedule when applied
This means your distributor delivery, playlist pitching, press outreach, and content creation all land on the right dates automatically — no manual counting back from release day.
Adding marketing activities to a template
Section titled “Adding marketing activities to a template”Each template marketing activity includes:
- Title — e.g., “Announce pre-save” or “Behind-the-scenes reel”
- Platform — Instagram, TikTok, Spotify, YouTube, etc.
- Phase — Pre-save, Release Week, or Post-Release
Applying a template to a release
Section titled “Applying a template to a release”- Open a release and go to the Tasks tab
- Click Import from Template
- Select the template you want to apply
- All tasks and marketing activities from the template are added to the release, with due dates calculated from the release date
You can still edit, add, or remove individual items after importing. Templates give you the starting point — you customize from there based on what the specific release needs.
Managing templates
Section titled “Managing templates”- Edit — update the template name, tasks, or activities as your process evolves
- Duplicate — use an existing template as the starting point for a new one (e.g., clone your single template to build an EP version)
- Delete — remove a template you no longer need
Built-in templates
Section titled “Built-in templates”ReleaseLoop includes a Standard Single Rollout template to get you started. Duplicate it and customize the tasks and timelines to match how your team actually works — adjust pitch windows, add your preferred promo phases, and set the cadence that fits your release strategy.
